This guide covers how to access your WhatsApp manager, edit your business profile and display name, and understand the critical metrics regarding your phone number's health and messaging limits.

1. How to change the WhatsApp display name

To access your Facebook Manager account and navigate to the WhatsApp section, follow these steps:

  1. Log in to your personal Facebook account

  2. Log in to your Facebook Business account via this link: https://business.facebook.com/

  3. From the main menu, select WhatsApp Accounts.

  4. Click on your number and select "WhatsApp Manager" from the bottom of the page.

  5. Click on Profile.

  6. Under Display Name, click the Edit button and enter the name you want, and click Submit.

  7. Display name approval may take some time; you should receive an approval or rejection email within 2 days. Also, you can always check its status in the WhatsApp manager by following the same steps to log in.

Important Rules & Troubleshooting for the WhatsApp Display name:

  • Rejection: If the name is rejected (status changes to "Name not accepted"), you must repeat the editing process.

  • Change Limit: You may change the display name no more than 3 times per month.

  • Visibility Condition: The store name will appear to customers on WhatsApp only after your account's messaging limit reaches at least 2,000 messages.

  • Troubleshooting Visibility: If your name is approved and your limit is 2,000 or higher, but the name still does not appear, the WhatsApp account must be re-registered. You will need to contact the BusinessChat support team to perform this step.

2. Managing Your WhatsaPP Business Profile

Your WhatsApp profile is your digital storefront and contains all your important information, making it essential for building trust with customers. The WhatsApp profile is the account information your customers see on their WhatsApp when you send them a message.

To edit your WhatsApp Profile, follow these steps:

  1. Log in to the Facebook Business Manager via this link: https://business.facebook.com/

  2. Select "WhatsApp Accounts", click on your number, and choose "WhatsApp Manager".

  3. Click on Profile.

  4. Make your desired edits. You can modify the following:

    • Profile picture.

    • Store name and Category.

    • Store description and Address.

    • Email, Website, and Social Media links.

  5. Save your changes.

Note that you can add only one social media account link in the specified place, so if you want to add all your social media links, create a Link Tree with all your accounts’ links.

3. Understanding the Dashboard Sections on your WhatsApp manager

When you open WhatsApp Manager, you will see a "Phone Numbers" section that provides a report on the status and health of your numbers.

A. Phone Number Status

This indicates if your number is connected. Statuses include:

  • Connected: The number is linked, active, and ready for use.

  • Other statuses: Pending, Offline, Flagged, Banned, Restricted, Deleted, or Unknown.

B. Quality Rating

Your quality rating is based on the latest messages received by customers over the past seven days, as well as customer feedback (such as blocks and reports.

Quality Levels:

  • Green: High quality.

  • Yellow: Medium quality.

  • Red: Low quality.

If your rating drops, you will receive an email and a notification, and your status may change to Restricted. This usually happens because customers mark your messages as spam or block your number.

Tips to Maintain High Quality:

  • Ensure messages follow the WhatsApp Business Policy.

  • Only send messages to users who consented to receive them.

  • Make messages highly personalized and useful; avoid open-ended welcome messages.

  • Monitor message frequency; avoid sending too many messages daily, and always improve your content.

C. Messaging Limits

WhatsApp limits the number of unique customers you can message in a 24-hour window (this applies to business-initiated messages, not customer-initiated conversations).

The Tiers:

  • Level 1: 250 customers/24 hours.

  • Level 2: 2,000 customers/24 hours.

  • Level 3: 10,000 customers/24 hours.

  • Level 4: 100,000 customers/24 hours.

  • Level 5: Unlimited customers/24 hours.

How to Upgrade Tiers:

You start at Level 142. To upgrade, you must meet these conditions:

  1. Maintain a good Quality Rating.

  2. Send 1,000 messages within the last 7 days (excluding customer-initiated messages).

  3. If your limit is 2,000 or higher, you must have sent at least half of your current limit within the last 7 days.

D. Other WhatsApp Manager Dashboard Elements

  • Country: The country associated with your phone number.

  • Display Name: The name shown for your number.

  • Certificate: This is only visible on your Business Solution Provider (BSP) platform, not to you directly. However, if you apply to change your display name, you can check the status here.

IMPORTANT NOTE: This information is reflected on your BusinessChat account dashboard for easy access; however, to change anything on your WhatsApp profile, you need to do so directly in your Facebook Business Manager and WhatsApp Manager. You cannot change details on your WhatsApp profile directly via BusinessChat.
