Overview: What is Instagram Direct Messages?
Instagram Direct Messages allows your team to manage incoming Instagram customer chats, story mentions, and story replies right inside your central BusinessChat platform inbox. Because Instagram is owned by Meta, connecting it requires specific account types and settings, but once activated, your support teams can handle Instagram inquiries side-by-side with your other channels.
Vital: Activating any channel (Instagram, Messenger, Live Chat, and upcoming channels) is free of charge until 30 September 2026. Prices are yet to be determined per channel.
Instagram channel connection requirements and prerequisites
Connecting Instagram is straightforward, but you must complete two quick configuration steps in the Instagram mobile app before connecting inside our dashboard:
Step 1: Switch to a Professional Account Your Instagram account must be set as a Business or Creator account. Personal Instagram accounts are blocked by Meta from connecting to third-party software.
How to do it: Open the Instagram app on your phone, go to Settings → Account type and tools, and tap Switch to Professional Account.
Step 2: Turn On "Allow Access to Messages" in the Instagram App (Crucial!) Meta requires you to grant explicit permission for third-party platforms to view your messages.
How to do it: In your Instagram mobile app, go to Settings → Messages and story replies → Connected tools, and turn ON the setting "Allow access to messages". If this toggle is off, incoming customer messages will fail to arrive in your BusinessChat inbox.
How to connect your Instagram to your BusinessChat account
To connect your Instagram account to BusinessChat, follow these steps:
From your profile avatar, click Settings
Under Channels, choose Instagram Channel and click Connect Instagram Account
Instagram's login page will open. Sign in using your Instagram login credentials, and approve.
Once connected, back in BusinessChat, a loading page will show "Connecting…" for a few seconds.
Once connected, the account appears: picture, name, @username, followers. DMs start arriving.
💡 Workaround for Facebook-Created Instagram Accounts: If your Instagram account was originally created using Facebook login (so you don't have a standalone Instagram password), open the Instagram mobile app first, go to Security Settings, and set an account password. Once created, return to our dashboard and log in using your username and new password.
Welcome Experience Configuration for Instagram
You can customize the initial greeting experience when a customer opens a new chat window with your Instagram profile.
Ice Breakers: Display up to 4 clickable question prompts (max 80 characters each) when a customer opens a new chat. Tapping a prompt sends the question into the chat automatically and can trigger automated bot responses.
Persistent Menu: Set up a menu offering up to 5 quick menu options (max 30 characters each) to trigger specific messages or open external website links.
Note: Instagram does not support a
Get Startedbutton or greeting message. If you edit FAQ settings natively inside the Instagram mobile app, the Instagram app acts as the primary source of truth.
To set up Instagram ice breakers, follow these steps:
Under Settings → Instagram, click Icebreakers and Menu. Toggle the Icebreakers option on and add the questions.
Toggle on the Menu option and add the menu options with the links. Then click "Save"
Important Rules & System Constraints
Understanding Meta's rules prevents confusion when managing customer conversations:
The 24-Hour Hard Stop Rule: The 24-hour clock starts the exact second a customer sends you an inbound message. While the clock is active, your agents and automated bots can reply freely. However, once 24 hours pass without a new message from the customer, the window closes completely.
Crucial Difference from WhatsApp: Instagram has NO template messages, or broadcasts to reopen a closed window. Once 24 hours pass, nothing can reopen the window except the customer sending you a brand-new message.
PDF-Only Document Restriction: Instagram's official API strictly permits sending PDF documents only. If a customer sends you a Word document or Excel file, it will arrive in your inbox fine. However, if an agent attempts to send an outbound Word or Excel file back to a customer, Instagram will reject it. Always save and convert documents to PDF before sending on Instagram.
Automatic Message Splitting (~1,000 Characters): Instagram limits single direct messages to approximately 1,000 characters. If an agent or automated bot sends a text response longer than 1,000 characters, our system automatically splits the message into multiple consecutive messages at paragraph or sentence breaks so nothing gets cut off.
Media Ceilings (File Sizes):
Photos & Images: Max 8 MB.
Videos: Max 25 MB.
Audio Files & Voice Notes: Max 25 MB.
Documents: Max 25 MB (PDF format only).
Password Changes & Disconnection Flow: Security connection tokens renew automatically in the background every 60 days. However, if an admin changes the Instagram account password or revokes permissions, the status will show as
Disconnected. Simply click Reconnect in Settings and log in with your new password to restore connection instantly.
Note: Replies sent from the Facebook's Page inbox do not show in BusinessChat inbox.

Outbound: Text messages (~1,000 character splitting), Photos/Images, Videos, Audio, Voice Notes, PDF Documents, Quick Reply buttons (up to 13), Link buttons, Product/Info Carousels, Emoji Reactions, and sharing your own public Instagram Posts/Reels.
Inbound: Customer text, Photos, Videos, Audio, PDF Documents, Story Mentions, Story Replies, Taps on Ice Breakers/Menus, Customer Emoji Reactions, and Customer Message Unsends/Edits.
What Is Unsupported
Unsupported Outbound: Pin drop locations, Product catalog cards, Broadcast campaigns/templates, Quote-replying specific messages, Non-PDF documents (Word/Excel), direct comment replies from post feeds, and Vanish Mode messages.
